How to Add Preschool Press Issues

(Don’t be scared…lots of instructions, but totally doable and not too hard!)

FIRST: Compress PDF to Manageable Size

  1. Before you upload the Preschool Press to the website, you will need to check the size of the issue.  To persevere the amount of space allocated to the website, please ensure the size of the PDF is less than 10MB. If the PDF file is greater than 10MB, find a website such as Small PDF and convert your file to a smaller size.
    Please note: It is good to rename your file at this point to a simple name for the web. No spaces, capital letters or punctuation other than a dash or underscore. (ex: preschoolpress_jan2016.pdf)
    Please note: If you have the full version of Acrobat, you can do this by opening the file in Acrobat, then clicking File > Save As > Reduced Size PDF.

SECOND: Create photo of Preschool Press Cover & and Flyers

  1. Create a small image of the Preschool Press cover and any flyers you’ll be uploading to site or facebook. If you have your own image editing software, feel free to use that. Make the image 400 pixels wide. If you don’t have your own image editing software, go to Small PDF and convert your (reduced size PDF) into a JPG or http://pdftoimage.com/

  2. Once your file uploads, select Convert Entire Pages and then click on Choose Option.

  3. Download ZIP of the images. Trash all of the images except for the front cover and any of the images you want to upload as flyers or to FB — the website will save it as 0001.jpg. Rename the file to be more specific (ex: jan16PP_web.jpg).
  4. Next you will need to resize the image to be smaller for the website. Go to Pic Resize  (or any website that allows you to resize your images) and upload your picture.pp_picresize
  5. Click on Custom Size, then enter in 400 pixels.

  6. Click on the I’m Done button.

  7. Then click on Save to Disk and save it to your computer so that you can upload it later to WordPress.

THIRD: Upload Files to WordPress Media Library

  1. Click on Media, Add New

  2. Click on Select Files and upload both your reduced size PDF and the 400-pixel JPG cover image.

  3. To make your job easier, you may wish to leave the Media Library window open so you can easily grab the URL of the files. To grab the URL, click on the thumbnail of your file and double click, select all (Edit > Select All) and copy (Edit > Copy).

FOURTH: Update Preschool Press Page

  1. In the BPEC WordPress admin, go to Pages on the left-hand, black sidebar and click on Copy a Page.

  2. Search for Preschool Press, find the most recent Preschool Press page and click on Copy.

  3. Change the title of your page to reflect the issue you are putting online. (e.g.: January 2016)

  4. On the right hand side of the page, find the Parent Attributes box and change the Parent page to Preschool Press.

  5. In the text box, change the text to reflect what is in the current issue.

  6. Remove old image by clicking on the image and then clicking on the X.

  7. Click on the X to remove the old link.

  8. Highlight “Click here” and click on Add Media.

  9. Find the PDF you uploaded to the Media Library. Click on the thumbnail and then on the right hand sidebar rename the title to say “Click here.” Then click on “Insert into page.”

  10. Next, we will add the photo. Place your cursor right before the word “Click,” at the start of the text box. Then click on Add Media.

  11. Find the photo of the cover you uploaded to the Media Library, click on the thumbnail and on the right hand side, scroll down and select Right under the Alignment drop-down. Then click on the Insert into Page button.
    Please note: If you have the URL of the PDF handy, you can bypass steps 12 & 13 by clicking on the drop down for Media File and selecting Custom URL. Then paste the URL for the PDF file (see Third Section, step #3) in the field below. And then click on Insert into Page.

  12. Now we will make the image link to the PDF. Click on the image and then click on the pencil icon.

  13. Click on Link To and select Custom URL, then paste the URL for the PDF in the field below. (See Third Section, step 3 for more details about how to get the URL for the PDF file.) Then click on Update.

  14. Next, we will set the Featured Image for the Preschool Press page. On the right hand side, find the Featured Image box and click on Set Featured Image.

  15. Search for Preschool in the media library box and find the thumbnail of the babies playing. This is the theme picture for this page. Click on that and then click on Set Featured Image.

  16. Scroll up to the top of the page and click on the blue Update/Publish button. You’re done (with this step)!

FIFTH: Add To Menus

  1. The menus do not update automatically, so will next need to add the latest issue to the menus (and remove the old issue from the website). To get to the menus, click on Appearance > Menus.

  2. Under the Pages box, find your new page and click on Add to Menu.

  3. Your page is added to the bottom of the list. Click and drag your page into the position you want it in. Note that the indentation is how the pages display in the menus.

  4. Next, remove the old issue. Click on the down arrow on the right hand side and then click on Remove.

  5. Finally, scroll up and click on the Save Menu button. This makes the changes you’ve made live to the internet.

SIXTH: Create Blog Post to Announce Issue

  1. Now that the issue is uploaded to the website, it’s time to create a blog post to announce to people that the Preschool Press is out. Go to Posts > Copy a Post.

  2. Search for Preschool and then copy the latest Preschool Press blog post.

  3. Change the title of your post to reflect your issue.

  4. Change the text in the post, as appropriate to your issue.

  5. Remove old image by clicking on the image and then clicking on the X.

  6. Next, we will add the photo of the cover. Place your cursor right before the word “Click,” at the start of the text box. Then click on Add Media.

  7. Find the photo of the cover you uploaded to the Media Library, click on the thumbnail and on the right hand side, scroll down and select Right under the Alignment drop-down. Then click on the Insert into Page button.
    Please note: If you have the URL handy of the Preschool Press page you just created, you can bypass steps 12 & 13 by clicking on the drop down for Media File and selecting Custom URL. Then paste the URL for the PDF file (see Third Section, step #3) in the field below. And then click on Insert into Page.

  8. Now we will make the image link to the Preschool Press Page URL. Click on the image and then click on the pencil icon.pp_edit_image
  9. Click on Link To and select Custom URL, then paste the URL for the PDF in the field below. (See Third Section, step 3 for more details about how to get the URL for the PDF file.) Then click on Update.

  10. Next, we will change the URL in the text to go from the old Preschool Press issue to the new one you just uploaded. Click on the X to remove the old link.

  11. Highlight the text you want to link and click on the link button.
    Note: This function works only to link to external websites, pages in your website or posts in your website. If you want to link to a PDF or something in the media library, you will need to link via the Add Media button.

  12. In the link dialogue box, you can either add an external URL in the URL field, or you can search for your page/post within your site. If searching, highlight the page/post you wish to link to and then click on Add Link.

  13. On the right-hand Category bar, select the category of your blog post. This will control where the blog post appears on the site. For the Preschool Press, I click only Announcements and it will appear under the Announcements header on the homepage.

  14. Now you are ready to publish the post for it to be live to the website. Click on the blue Update/Publish button.
    Note: If you want your blog post to appear at a certain time, click on edit and input the date and the time you want it to publish, then click on the OK button and click the blue Schedule button.

  15. After you have published your post, take the URL of the blog post and post it on the Facebook page so that people know that the Preschool Press issue is ready to be viewed!
